Responsibilities
You will help maintain a smooth and efficient office to ensure we are operationally able to effectively meet the needs of our clients and employees.
The role requires the ability to work well as part of a team but also be self-motivated and proactive to complete tasks independently, using your own initiative where appropriate.
General office support and administration
Assist the Senior Project Administrator with the following activities:
- Recruitment activities, including, scheduling meetings, preparation of materials, equipment, and itineraries
- Purchasing and organisation of office equipment, stationery, gifts, and cards
- Timely communication to the team regarding various activities including, office procedures, charity and fundraising events, announcements
- Maintaining the IT audit log
- Ensuring first aiders and fire sweepers are in place and training is up to date
- Management of electronic diaries, assessing priority of appointments and reallocation as necessary
- Compiling timesheet reports
- Organising and scheduling internal training such as lunch & learns
- Monitoring company polices and guidelines and advise when they need updating
- Help to maintain accurate data on our payer database
- Maintain staff records and ensure any changes are included in their personal file
- General administrative tasks to ensure the smooth running of the office, including tracking and reporting of team holidays and sickness
- Perform duties not specifically identified in the job profile, but which are in line with the general responsibilities of the role, offering support across all functions if required
- Providing general administrative support to the business when required
Travel and external events
Assist the Senior Project Administrator with the following activities:
- Arranging team travel, including air, rail and taxi, accommodation, and restaurant reservations
- Arranging internal and external meetings, including required logistics for client meetings and team away days, external conferences, and networking events
- Organising team events and be responsible for arranging corporate lunches
Marketing
Assist the Marketing Manager with the following activities:
- Scheduling and posting marketing content on LinkedIn
- Scheduling diary invites for marketing content reminders for team members
- Monitor LinkedIn connections
- Review, validation and cleansing of MailChimp / Insightly integration
- Monitor and review upcoming conferences and communicate costs, and registration details to the marketing team
- Undertaking any other tasks/duties as may be reasonably required within the marketing function
